How to Run Shopify Fulfillment Batches

The short answer.
Use a Shopify fulfillment batch when a group of compatible unfulfilled orders should move through the same pick, document, label, pack, and verification workflow. Shopify supports batches of up to 250 fulfillments and provides customizable steps for pick lists, label purchase, packing slips, customs forms, and scan verification. Define the batch rule first, excluding holds, unresolved addresses, inventory shortages, incompatible services, fraud review, and orders owned by an external fulfillment service. Assign an owner to each step, verify items and quantities before labels are committed, and route failures to an exception queue rather than forcing the whole group through. Close the batch only after every order is fulfilled, moved, or explicitly removed, and reconcile shipped quantities, tracking, label charges, customer notifications, and remaining unfulfilled work.

Choose batches for physical workflow, not status cleanup
Shopify distinguishes batch fulfillment from bulk status actions. Batches organize orders so operators can pick, pack, buy labels, print documents, and verify items through a workflow. Bulk actions change fulfillment states or locations across selected orders. Use a batch when the work will move through a shared physical process. Use a bulk action only when the intended state change is accurate for every selected order and no pick-pack workflow is required.
Write a batch purpose such as same-day domestic parcels from one location, preorders released on one date, or one carrier cutoff. Define the inclusion filter, cutoff time, location, service rules, owner, and maximum size. Shopify says a batch can group up to 250 fulfillments based on criteria such as product type or destination. A platform limit is not a staffing target; choose a size the assigned team can complete and reconcile within the shift.

Exclude work that cannot travel together
Before creating the batch, exclude orders with unresolved payment, fraud review, address questions, inventory shortage, personalization, unsupported package data, international documentation gaps, local pickup, local delivery, or a scheduled future fulfillment. Also separate fulfillment orders controlled by a third-party service. Shopify's bulk-action guidance states that an external fulfillment service controls certain statuses and receives fulfillment requests rather than manual completion.
Check split fulfillments and multi-location orders at the fulfillment-order level, not only the order number. One customer order can create multiple physical jobs. If part of an order belongs in another location or carrier workflow, keep those fulfillments outside the batch. Save the exclusion reason and owner. A clean batch is not one with no exceptions; it is one where exceptions are visible before labels and picks make them more expensive.

Design the steps around the warehouse handoffs
Shopify's default batch workflow includes Pick, Print, and Pack steps, with actions for a pick list, shipping labels, packing slips, customs forms, and scan verification. Keep that default only when it matches the actual floor. Add, remove, rename, or reorder steps to represent real custody changes. Each step needs an owner, entry condition, completion evidence, and an exception route. A decorative workflow that operators bypass creates false confidence.
Decide when labels are purchased. Buying too early can lock incorrect service, address, package, or ship-date information into a large group. Buying too late can interrupt a packed queue. Require verified dimensions, weight, service, dangerous-goods status, customs readiness, and destination before the label action. Print only the documents needed for the fulfillment, and protect personal customer information on abandoned or reprinted paperwork.

Pick, scan, and pack with recorded exceptions
Use the pick list as a controlled workload, not proof that inventory was found. Record short picks, substitutions, damaged units, lot restrictions, missing barcodes, and location mismatches as they happen. Shopify documents a Scan to verify action that compares scanned products with the displayed order and signals correct or incorrect quantities. Where barcode verification is available, require it before sealing; where it is not, use a documented second check.
Keep each order physically identifiable through picking and packing. Do not place labels near open cartons where they can be swapped. Match SKU, variant, quantity, inserts, destination, service, and tracking before sealing. If one order fails, remove or move it according to the exception process instead of marking it complete to unblock the batch. The batch status should reflect completed work, not the desired carrier cutoff.
Section 05
Move exceptions without losing ownership
Shopify allows an order to move backward, move to another batch, or be removed while a batch is being fulfilled. Use those actions with a reason and named owner. Removing an order does not change its fulfillment status, so the order still needs a next action on the Orders page. Do not delete the batch to hide several unresolved jobs. Shopify states that deletion returns orders to the Orders page without canceling them or changing fulfillment status.
Create exception categories for inventory, address, payment, risk, carrier, document, equipment, and customer-request issues. Track age from the first failure and preserve the original batch reference. If a hold must be applied, note that Shopify bulk actions cannot change the status of orders or fulfillments already on hold until the hold is released. Resolve the cause, then re-enter the work through a fresh or designated exception batch.
Section 06
Close the batch against carrier and order evidence
Before moving the final step to Done, count orders created, completed, removed, moved, and still failed. Reconcile fulfilled quantities, tracking numbers, label charges, voided labels, customer notification choices, carrier acceptance, and remaining unfulfilled lines. Shopify's batch flow ends by closing the batch and archiving its orders, so confirm no order is being archived while it still has undisclosed work. Preserve the batch owner and completion time.
Review batch quality with evidence such as short picks, scan errors, repacks, label voids, missed cutoffs, carrier no-scans, and reopened orders. Do not infer customer satisfaction or cost savings from faster closure alone. Use the findings to adjust selection rules, step order, staffing, or product data for the next batch. A reliable batch reduces hidden handoffs because every completed parcel and every exception has a traceable destination.
