How to Reserve Inventory for Shopify Draft Orders

The short answer.
Reserve Shopify inventory on a draft order only when a named customer, quote, wholesale agreement, or approved offline sale justifies taking units out of general availability. Shopify says reserved draft-order units move into the Committed state and cannot be purchased by other customers, while unreserved units remain Available and can sell out before checkout. Activate inventory tracking, confirm the variant and fulfillment location, set a deliberate expiration date and time, and record the reservation owner and business reason. Review payment, conversion to a regular order, edits, cancellation, and expiration as separate transitions. Monitor aging reservations and release units promptly when the commercial commitment ends. Test the final paid order and fulfillment location so the reservation does not hide an oversell, stale quote, or location mismatch.

Choose when a reservation is justified
Draft orders support phone, email, in-person, negotiated, and other assisted sales workflows. Decide which of those workflows may reserve inventory and which must leave units available until payment. A reservation removes selling capacity from the general storefront, so require a named customer or account, responsible owner, expected payment path, expiration, and reason. Avoid indefinite holds for speculative quotes or internal convenience. If the business needs general safety stock, use the inventory control intended for that purpose rather than creating customerless draft orders.
Check the product, variant, quantity, market, price, discount, tax, shipping rate, and intended fulfillment location before reserving. Shopify shows available inventory in the product picker and can warn when tracked inventory reaches zero, but an operator can still create conditions that lead to overselling. The draft must represent a real commercial commitment and a fulfillable unit at the correct location. Record exceptions such as backorders separately so a reservation is not mistaken for physical stock.

Create the draft with tracked inventory
Shopify requires inventory tracking for a product before its units can be reserved on a draft order. Confirm tracking status and the location-level quantity before adding the item. Use the exact existing variant rather than a custom item when inventory ownership matters, because a custom line does not provide the same stock relationship. Review bundles and multi-location products carefully. The visible total may not prove the chosen fulfillment location has sellable units, and an inactive location can still hold on-hand stock that is not available for new orders.
Create or open the draft order, add the products, verify quantities, and use the reservation control for the included items. Shopify lets the operator set the date and time when the reservation expires. Choose that timestamp from the commercial agreement and operating calendar, not an arbitrary far-future date. Save the draft, then confirm the reservation is represented in inventory. Capture the draft ID, customer, variant IDs, quantities, location assumption, expiration, owner, and source request in the order note or approved operational record.

Understand the Committed inventory effect
Shopify states that reserved units on a draft order move into Committed inventory and cannot be purchased by other customers. Committed inventory is part of on-hand stock but is set aside rather than available for sale. Verify the change at the variant and location level after saving. If the expected available quantity does not decrease, investigate tracking, location assignment, app ownership, or draft configuration. Do not create a second manual quantity adjustment to imitate the reservation because that can double-count the reduction.
If the operator does not reserve items, the units remain Available and another customer can purchase them. Shopify warns the draft when an unreserved item reaches zero, but that warning does not restore the original quote or guarantee fulfillment. Make the choice visible to sales and operations: reserved means capacity is held until the stated transition; unreserved means the quote can lose availability. Customer communication should match that state without promising inventory the system has not actually committed.

Govern payment, edits, expiration, and release
A paid draft becomes a regular order, so verify the payment transition, order creation, committed quantities, customer details, taxes, shipping, and fulfillment location. When the draft changes before payment, re-check every reserved line and its expiration. Quantity substitutions, variant swaps, duplicated drafts, and market changes can leave the commercial record and inventory state out of sync. Use the order timeline and inventory history to confirm what changed and who changed it. Avoid editing a paid order as though it were still the original draft reservation.
Review expiring reservations before the deadline and release units when the customer declines, the quote expires, payment fails permanently, or the draft is abandoned under policy. Shopify documents that the reservation has an expiration date and time, which gives the team a deterministic control. Do not rely only on memory or a sales inbox. Build a daily queue for reservations approaching expiration, with owner, customer status, amount, units, and next action. Release is an inventory event and should be verified at the affected location.

Audit aging reservations and fulfillment readiness
Run a recurring audit of open draft orders with reserved inventory. Group by owner, age, expiration, customer, value, variant, location, and status. Match the reserved quantities to the Committed state and investigate orphaned commitments, expired quotes, duplicated drafts, inventory at the wrong location, and orders waiting without a next action. Do not count a draft as demand or revenue merely because stock is reserved. Report reservations as a separate commercial state until payment and order creation are verified.
Test the complete happy path with a safe internal record when process evidence is insufficient: create a clearly tagged draft, reserve a low-risk test item in a non-customer context, confirm the inventory transition, release or complete it, and verify the final state without triggering external communication. Record the test so it cannot be mistaken for a prospect. A healthy reservation workflow has explicit entry criteria, short accountable expirations, location-level evidence, clean conversion to regular orders, and fast release when the commitment ends.
